The follow-up playbook: what to send, and when

The goal of a follow-up isn't to “check in.” It's to give the other person something useful and a clear reason to take the next step. Get that right and following up stops feeling awkward — for you and for them.

Follow up while it's fresh

Send the first follow-up soon after the conversation, while the details still mean something to both of you. Lead with the thing you promised — the quote, the document, the answer to their question — not a vague “just circling back.”

Make every touch add something

Each message should carry a little value: a useful detail, a next step, a reminder tied to their situation. “Just checking in” asks the other person to do the work; “here's the figure you asked about, and the two options that fit” moves things forward.

Find a cadence, not a barrage

A few well-spaced, purposeful touches beat both extremes — vanishing after one try, or smothering someone with daily nudges. Space them out, and ease off when the answer is a clear no. Persistence with respect is the whole game.
